EU Respondent Privacy Policy

This is our EU data protection Respondent Privacy policy – for data collected in the EU or with EU or UK citizens.

Importantly, Azure Knowledge does not sell, share, rent or trade personal data with third parties for their promotional purposes.

This EU privacy policy sets out who we are, how we use and protect any information that you give us when you are a participant in one of our research projects or sign up to being a panel member (Panelogy), if you are the subject of any of the personal data concerned, what rights you have and how to get in touch with us if you need to.

  • Who are we?

We are Azure Knowledge. We are a market research company registered in California, USA but operating out of many offices worldwide. You can contact us via the contact details at the end of this policy. For Panelogy and some market research studies we are the controller in relation to the personal data processed in accordance with this policy, for many other studies we are the Processor for a client who will act as controller.

Azure Knowledge is committed to ensuring that your privacy is protected. If you provide us with any information which could identify you (personal data) when involved in market research studies, be assured that it will only be used in accordance with this privacy statement.

  • Why we collect your data?

This privacy policy explains how Azure Knowledge handles your personal information and data. We value your trust, so we’ve strived to present this policy in clear, plain language.

We collect your data if you consent to being a participant in one of our market research projects. On most of our projects we will not collect personal data, or it is very limited. Please see below to see what sort of personal data we might process.

Please read this policy in order to make sure that you are happy with it and agree with it. We can only process your data by “consent”, participation in the project is entirely voluntary but, if you do continue with the project, then we will take it to mean that you agree with the terms of the policy. If you are not happy with the terms of this policy, then you should not participate in the project – or if at any time you wish to withdraw your consent to our processing your personal data, and if so, please use the contact details below.

  • Why do we carry out projects, and where did we get your details?

We carry out projects for clients. We get your contact details by either

         • You already have a relationship with our client, either as an employee or a customer in which case they have given us your details

         • Or we have obtained your details from a third party, such as a market research recruiter or panel company.

  • What personal data do we collect in relation to our projects?

We only collect personal data from you for a couple of reasons:

         • When we survey you and only seek relevant data for that project. You can usually skip any questions if you wish to, unless the question is essential in order for us to carry out the project.

         • If you are a Panelogy member. There is more on the general Panelogy Privacy Policy about the sort of data we process for panels.

If we collect sensitive information such as gender, race/ethnicity, sexual orientation, we are doing so only to split the data into categories, we do not wish to identify you individually.

For any projects that require you to work with us online, we will usually only collect the IP address.

  • What do we use your personal data for?

We may use your personal data for the following:

         • For market research purposes, such as looking at results and producing reports for our clients.

         • To help you while you participate in our projects.

  • How do we share your personal data with the person who has commissioned the survey?

Unless we state in the intro and ask your consent - we report in aggregated, anonymous form – so you will not be personally identifiable.

If the research involves video / photos or we want to share your personal data with our client in other ways than in this policy, we always explain and ask consent at the start of the survey.

  • Do we share your personal data with anyone else?

We only share your personal data with other third parties if they are supporting us for our market research services. For example, we might use research partners to collect your opinions and they usually send us only aggregated anonymised data. We contract the third party, and ensure you are protected against unauthorised use or disclosure and the third party can only use this personal data only how we say they should. Some of these services will also have Privacy notices which you should read and possibly agree to before taking part in research – such as when we are Processors for other companies.

There may be a time when we have to share your personal data with others without your consent – but this will only be if we are required by law or where the law permits us to do so in the absence of your prior consent.

  • How long will we keep your personal data?

We retain your personal data for up to 12 months after survey completion. After that, we will delete it and we will no longer have any copies of it. You have a “right to be forgotten” – please see how to do so below.

  • How secure is your personal data?

We are committed to maintaining the privacy and security of your personal information. We follow American Association for Public Opinion Research (AAPOR) Code of Professional Ethics and Practices and the Council of American Survey Research Organizations (CASRO) Code of Standards. We also comply with worldwide industry standards on privacy and security. We will take appropriate technical and organisational measures to ensure your privacy and security of personal data.

  • Where do we process your personal data?

We have offices worldwide, often our partners working in the EU/UK will keep the data they collect on our behalf in the EU/UK but it is likely that we will transfer some personal data for some surveys outside of the European Economic Area ("EEA"). Accordingly, we have set up appropriate arrangements to ensure all our offices and our partners treat your data as it should be according to European data protection rules.

  • What are your rights in relation to your personal data?

You may at any time withdraw your consent to our processing your personal data. To do so, you should use the contact details below. Once your consent is withdrawn, we shall not process your personal data any further and will delete it without retaining a copy. If you have previously consented to us disclosing it to a third party (other than on an aggregated, anonymous basis), we may not be able to stop them continuing to process it.

You have the right to access any personal data that we process relating to you. We may ask you to verify your identify before we provide access to the relevant personal data. You also have the right to restrict your processing, or to port your data, if applicable.

We would like to ensure that your personal data is accurate and up to date. If any information that you have provided to us changes (for example, if you change your email address), please let us know. Our Data Protection Officer is your first point of contact for any of these rights.

If you are unhappy with the way in which we process your personal data or have any other complaint in relation to that processing, you are entitled to ask the Office of the Information Commissioner to review the matter. Details about your rights in relation to your personal data, and about how to contact the Office of the Information Commissioner are on their website at www.ico.org.uk.
